National Dong Hwa University Student Leave Regulations

Amended and approved in the 112nd Academic Year, 2nd Semester, 1st Student Affairs Committee Meeting on May 1, 2023

  1. These regulations are formulated in accordance with Chapter 3 of the University’s Academic Regulations.
  2. Students unable to attend classes, exams, or activities due to personal reasons must apply for leave in advance. Any absence without approval will be considered unexcused. However, leave may be applied retroactively in cases of illness, emergencies, or special circumstances.
  3. Leave is categorized into eight types: personal leave, sick leave, official leave, bereavement leave, maternity leave, menstrual leave, psychological adjustment leave, and traditional ceremonial leave.
    1. Personal Leave: Requires a detailed explanation or supporting documents.
    2. Sick Leave: Requires a medical certificate (during exams, certification must be from public hospitals, accredited medical centers, or the University Health Center).
    3. Official Leave: Requires proof from relevant school units, advisors, or supervising teachers.
    4. Bereavement Leave: Requires an obituary or death certificate.
    5. Maternity Leave: Includes leave for marriage, pregnancy, or childbirth. Medical proof is required (during exams, certification must meet the same criteria as for sick leave).
    6. Menstrual Leave: Female students facing difficulties attending school due to menstruation may apply for one day of leave per month without needing documentation.
    7. Psychological Adjustment Leave: Students may take up to three days per semester without documentation (during exams, medical certification is required). Once three days are used, the system will notify the advisor for further care, and referral to the Counseling Center may be arranged if necessary.
    8. Traditional Ceremonial Leave: Taiwanese Indigenous students may apply for leave based on certified documents (e.g., certificates issued by the Council of Indigenous Peoples or local offices) for participating in traditional ceremonies of their own or their parents’/spouse’s ethnic groups. Participation in one’s own ethnic group ceremonies does not require additional proof. Participation in a parent’s/spouse’s ethnic group ceremonies requires their ethnic identification documents. Leave is limited to three cumulative days per semester.
  4. Leave Application Procedures and Approval Authority:
    1. Students should prioritize online applications but may submit paper forms as a backup with attached documentation.
    2. Online Process: Fill out the leave form via the system, submit it online, and obtain approval from course instructors before the application is reviewed and approved by the relevant authority.
    3. Paper Process: Fill out the leave form online, print it, and seek course instructor approval. The approved form must be submitted to the Student Living Services Division for processing and upload.
    4. Make-up exams for missed semester exams will follow relevant Office of Academic Affairs’ regulations.
    5. Approval Authority:

- Leave of up to 3 days: Approved by the advisor.

- Leave of up to 7 days: Approved by the department head.

- Leave exceeding 7 days: Approved by the Dean of Student Affairs.

  1. Leave, absence, and unexcused absences are considered in academic performance evaluations but do not affect conduct scores.
  2. During registration or exam periods, students may apply for leave due to pregnancy-related matters or emergencies related to infant care, with medical proof.   3. Approved leave due to pregnancy or infant care will not impact conduct scores.
  4. These regulations take effect after being approved by the Student Affairs Committee and the President of NDHU. Amendments will follow the same procedure.
